Personal Leave of Absence:

Students who find it necessary to interrupt their studies may request a personal leave of absence by submitting a petition through KUSIS.

Students should be aware of the following when requesting a personal leave of absence:

    • Students must apply for leave of absence with a petition in which they state their excuse latest by the deadline of the course add/drop period (please see the deadline in Academic Calendarfor the related semester to the Graduate School of Sciences and Engineering.
    • Requests for a leave of absence must be approved in advance by the student advisor and the Graduate School.
    • Once the leave of absence request is approved student will be unenrolled from the courses, with a notation of “L” on their transcript for those courses.
  • The minimum time frame for a leave of absence is one semester. Students wishing to extend their leave beyond the original timeframe must contact the Graduate School in writing and include the reasons for the extension request.
  • Students returning from leave of absence must notify the Graduate School in order to be register and return to active status.

Medical Leave of Absence:

  • Students who need to interrupt their studies due to a medical or mental health issue may request a medical leave of absence by submitting the Leave of Absence Request petition with the necessary documents (medical health report).

  • Students who request a medical leave of absence after the add/drop deadline but prior to or after the withdrawal deadline (please see the deadline in Academic Calendar) will be unenrolled from their courses, with a notation of “L” on their transcript for those courses.

The Leave of Absence petitions need to be written through KUSIS by following the below path;

Main Menu → Self Service → Research Activities → Service Requests → Create New Request → VIEW ALL → Graduate School of Sciences & Engineering (GSSE) Petitions → Next → Request a Leave of Absence → Next → Please indicate the necessary information in “Comment” section. → SUBMIT

All registered students can reach the course lists and the course schedules through KUSIS.

 

A PhD student entering with BS degree is required to complete a minimum of 14 courses (by the end of the 6th semester) and a PhD student entering with MS degree and MS students are required to complete a minimum of 7 courses (by the end of the 4th semester).

 

Course registration is accomplished online through KUSIS and all graduate students are encouraged to meet with their academic advisors to plan their course schedules before course registration opens.

Newly admitted students are encouraged to review program’s course offerings through the websites of the related graduate programs, although they may not register for courses until meeting with their academic advisors.

All registered students can be able to see the list of the courses offered in related semester on KUSIS.

Once the students have the approval of their advisors, they can complete the enrollment process on KUSIS electronically by following the steps pointed out here.

 

 

  • Officially enrolled graduate students who have obtained approval of their advisor and the instructor of the course concerned may audit courses; however, the student will not receive credit for courses scheduled on an auditing basis.
  •  
  • No credit will be granted and this grade will not affect the grade point average. Courses for which the AU grade is assigned will not count toward any degree program’s minimum credit requirements.
  •  
  • Requests to audit a course will be granted only if space is available in the course and permission has been given by the instructor of the course.
  •  
  • In order for a successful audit to show on the student’s permanent record, the student must comply with all requirements listed by the instructor. If the instructor deems that the student did not successfully audit the course, the course will not be appearing on the transcript of the student.
  •  
  • If the student has successfully completed the audit course the grade will be appearing as “AU” on the their transcripts.Except the add/drop period, credit enrollment cannot be converted to audit status at any time, nor can audited course be converted to credit status.

  • After a student completes online course registration process on KUSIS, all further requests to add, drop and change subject registration status are made via the online add/drop application through KUSIS.
  •  
  • Dropping a course must be done by the add/drop deadline that is published in the Academic Calendar for that semester.
  •  
  • After the add/drop deadline the courses can not be dropped.

  • Dropping a class after the add/drop period has ended is considered a withdrawal.
  •  
  • If a student drops a course, the course will not be included on their transcript.
  •  
  • If a student withdraws from a course, the course will be included on their transcript with a ‘W.’ This ‘W’ indicates that the student attempted the course but eventually withdrew prior to completing the course for a letter grade. ‘W’s do not count towards a student’s GPA.

  • Students may withdraw from a course at their own discretion. They must, as a courtesy, notify their instructor of their intention, and obtain the withdrawal petition. The withdrawal deadline is published in the Academic Calendar for each semester. To request withdraw from a course the students are required to write a petition through KUSIS by following the below path;Main Menu → Self Service → Research Activities → Service Requests → Create New Request → VIEW ALL → Enrollment Changes → Next → Withdraw from a Course → Next → COURSE CODE in “Comment” section. → SUBMIT

  • No graduate credits will be accepted as transfer credit toward a subsequent PhD/MS program if the credits have been applied toward a previously completed PhD/MS degree at any other university.
  •  
  • Graduate courses to be transferred from another university to any MS/PhD degree must not have been used to satisfy the requirements for a bachelor’s degree, master’s degree (or equivalent) or a doctoral degree.
  •  
  • To apply for the transfer of credits to the Graduate School of Sciences and Engineering students are required to write a petition through KUSIS by following the below path with the official transcripts and other necessary documents which may required (such as course descriptions or syllabus).
    Main Menu → Self Service → Research Activities → Service Requests → Create New Request → VIEW ALL → Graduate School of Sciences & Engineering (GSSE) Petitions → Next → General Request to GSSE → Next → Please indicate the necessary information in “Comment” section. → SUBMIT

  • Upon approval of the academic advisor and the Graduate School of Sciences and Engineering Executive Council, a graduate student may transfer the credits into his/her degree program.
  •  
  • Courses taken on a pass/fail or satisfactory/unsatisfactory basis will not be included in transfer credit.
  •  
  • Grades earned on transferred course must be equivalent to B or better.
  •  
  • Up to 12 graduate credits may be transferred toward a 21-credit master’s degree. Up to 12 graduate credits may be transferred toward a 21-credit PhD’s degree and 24 credits may be transferred toward a 42-credit direct PhD’s degree.

A student who wishes to take courses at another university must first consult his/her academic advisor. According to the YÖK legislation, master and PhD with MS degree students can take 2 courses and PhD students with BS degree can take 4 courses at most.

Once such course credit is earned, the procedure for transferring the credits earned is the same as that described above.

  • The minimum grade for successfully pass a course is ‘C’. Required core courses graded C- and below must be repeated. All elective courses graded C- and below must be repeated or replaced with another course.
